We're seeking someone to join our Laptop Logistics team at our office in downtown Oakland that we affectionately call “The Pit” — the place where our clients' laptops are born, reborn, and respectfully retired.
This is a hands-on, in-person role: real boxes, real laptops, real FedEx pickups with real deadlines.
What the actual job???
Our clients — tech startups, VC and private equity firms, nonprofits — hire people all over the country (and occasionally the world). Every one of those people needs a laptop that shows up on time, configured, sparkling clean, and ready to boot. And every time one of those people leave, our client needs their laptop shipped back, erased, and sent back out to the next hire.
That whole physical lifecycle runs through the Pit. You'd be one of the people running it.
Unlike many IT shops, we believe the technology is only the tactic; the actual job is making people feel taken care of. One of our core values is "49% tech support, 51% human support." Here, that means the new hire in Minneapolis whose MacBook arrives the day before she starts, with the charger, the security key, and instructions that actually make sense. That Warm Fuzzy Feeling™ is the product. The tracking numbers are just how we get there.
In a typical week, you will:
• Receive a shipment of new-in-box MacBooks for a client's stock: unbox, pull specs and warranty info, label each machine, add it to our inventory application, and shelve it ready for deployment.
• Prep and ship a new hire’s laptop: power it on, step through the enrollment procedures, verify the account password, clean it until it looks brand spanking new, pack it with the right adapter and cables, generate the shipping label, and hand it to the FedEx guy when he knocks.
• Run an offboarding retrieval: send a departing employee a return box with a prepaid label, anti-static bag, and friendly instructions — then follow up (kindly, persistently) until the laptop actually comes home.
• Turn a returned laptop around: request the client's permission to wipe, erase and restore it, remove it from tracking and management systems, and put it back on the shelf for its next life.
• Spot the machines whose time has come: flag laptops that are out of warranty, past the client's lifecycle age, or damaged; get retirement approval; and coordinate the e-waste pickup or buy-back sale.
• Keep the shelves honest: run the weekly shipping-log audit, count the physical inventory, and email the client when their new-in-box stock dips below threshold so they can reorder before it bites them.
• Handle the curveballs: a lost package that needs an insurance claim filed, an address FedEx swears doesn't exist, an international return from Canada, a laptop that arrives with a layer of food residue (or something more creepily mysterious).
Every task gets logged in our support system with clear, detailed notes — because your notes are what tell the client, and your teammates, exactly what happened and when. Clear writing is a job requirement here, not a bonus.

• Inventory management software — SKUs, bins, serial numbers, statuses
• Shipping platforms — FedEx, UPS, ShipStation label generation, pickups, international shipments
• Process-management checklists that walk through each client's custom procedure step by step
• Our ticketing system — where every task, timestamp, and work note lives
• Online device management platforms — you’ll get exposure to the tools that IT departments use to track their global device fleets.
You don't need to know these tools on day one. You need to be the kind of person who'll learn them fast and then start suggesting improvements.
Who we hope you are
We're seeking someone who:
• Can work full-time in person at our Oakland office near Lake Merritt Monday through Friday
• Can comfortably and repeatedly lift and move boxed laptops and computer equipment
• Are genuinely detail-obsessed — serial numbers, tracking numbers, user account passwords, and inventory counts have to be right, every single time
• Write clearly and professionally — you'll email real clients and real end users daily — and pay attention to your spell-checker
• Is okay working with others in a very small office that has no windows (that's why it's called The Pit)
We figure the tools are teachable; character takes a lot longer. So we're looking for someone who:
• Genuinely cares — about clients, teammates, and the person waiting on that box
• Takes quiet pride in a clean bench, a tidy shelf, and an inventory that reconciles
• Follows through — a laptop that's "almost returned" isn't returned, and you're the kind of person who notices
• Stays warm and patient chasing down the fifth "please return your laptop" follow-up
• Notices when something's being done inefficiently and fixes it (you may boast about it later, that's fine)
• Is curious about the IT world — gamers welcome
• Proofreads their own work (yes, we noticed whether you proofread your application)
• Has a sense of humor, and doesn't take themselves too seriously
Compensation & logistics
• Base pay: $23.50 per hour
• Type & location: Full-time, in person at our downtown Oakland, CA office near Lake Merritt
• Benefits: Medical / dental / vision for you, 401(k) with employer contribution, and 2 weeks of vacation annually plus sick leave
